What type of information we have?

We currently collect and process the following information:

  • In most circumstances, we only need to collect personal information such as your name and address as our work on your behalf usually involves the use or development of land
  • We mostly only collect the personal information that you provide for us or make available to us, to assist us in carrying out our consultancy work on your behalf.

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you

If you are a business, we sometimes use search engines to find out more information regarding your business or the address of the land you wish us to be involved with or to provide advice on, to assist us in carrying out our consultancy work.

We also receive personal information indirectly, from the local planning authorities we work with

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

In your interests, if we are working on your behalf to promote the development or use of land

How we store your information

Your information is securely stored. Your files are stored on a Secure Server. In terms of Anti-Virus protection we have Sophos Endpoint Security and Control. As for your backups we are running Windows Server Backup which is backing up to rotatable external USB disks every day at 20:00, this is backing up the server itself which includes company data.

Emails are stored on secure, dedicated servers, which are encrypted and protected by physical controls and strong software controls (firewalls, powerful password protection and 24/7 threat monitoring). Secure overnight backups are kept in a separate location from the main servers, and retain data on a rolling 14 day basis.

We keep the details that have been required to carry out our consultancy work on your behalf for as long as you are our client and until such time that we consider that we will no longer be acting for you. We will then dispose your information by deleting your personal information from the files, but not our working files.
